ADMINISTRATIVE STAFF'S VOICES HEARD: SATISFACTION SURVEYS AT THE FACULTY OF COMMUNICATIONS WERE ANALYZED IN DEPTH

The BAİBÜ Faculty of Communication evaluated the results of its 2025 Administrative Staff Satisfaction Survey at a significant meeting held with a participatory, transparent, and solution-oriented approach. The root causes of the problems were addressed, and creative and sustainable solutions were developed.

A Deepening Evaluation Process with a Quality Culture

Bolu Abant İzzet Baysal University's Faculty of Communication views its quality assurance approach not only at the document level but as an essential part of its institutional culture, and it resolutely implements this approach in every process. The Administrative Staff Satisfaction Survey Evaluation Meeting held on August 6, 2025, served as a concrete demonstration of this understanding.

The meeting, chaired by Faculty Dean Prof. Dr. Emre Tandırlı, was attended by representatives from academic and administrative staff. Survey items receiving less than 50 points were not merely superficially analyzed; they were analyzed to their root causes using an Ishikawa (Fishbone) analysis. The solution proposals developed in this context were shaped around a human-centered approach, user experience, creative thinking, and sustainability.

EVALUATION TOPICS AND DECISIONS MADE

1. University Administration Provides Information About Our Fields of Study – (40 points)
Root Causes:

Information is provided only through traditional means (email, billboards, etc.)
Lack of regular and timely announcements
Inadequate feedback mechanisms
Lack of transparency in information flow

Creative Solution Suggestions:

Digital Information Platform: An interactive, mobile-friendly announcement system covering all staff
Activation of Plasma Screens: Publishing visual content such as course schedules, registration steps, and scholarship announcements in visible locations
Meetings: Management and staff meet monthly to share information
Decision Support Videos: Explaining management decisions through infographics or short videos

2. I am satisfied with the canteen services – (46.7 points)
Root Causes:

Exorbitant pricing practices
Limited product variety
Lack of oversight

Creative Solution Suggestions:

Price and Service Inspection Committee: Student, administrative, and Regular inspection group composed of academic representatives

Collaboration with Local Businesses: Agreements with local suppliers for healthy and diverse products

Student Entrepreneurship: Innovating the canteen process with the ideas and contributions of student clubs

Business Model Revision: Improving operational quality by transferring canteen services to the R&D Foundation

3. The Number of Administrative and Support Staff in Our Unit is Sufficient – (46.7 points)
Root Causes:

Insufficient staff despite increasing workload

Resource sharing imbalance due to shared use of a building with the Faculty of Agriculture and the Institute

Lack of support during busy periods (registration, exams, etc.)

Creative Solution Proposals:

Request for 2 Permanent Support Personnel: Official application for allocation to the Faculty

Unit-Based Task Distribution: Fair planning for cleaning and support services

Standard Staff and Workload Analysis: Scientifically based staff needs assessment

Joint Personnel Planning Board: Task allocation board among units in the same building

Personnel Support Pool: Volunteer-based, flexible assignment system

4. Our University I am satisfied with the Social, Cultural, Sporting, and Artistic Activities – (46.7 points)
Root Causes:

Inadequate event announcements
Activities not appealing to all staff
Event times making participation difficult

Creative Solution Suggestions:

Event Calendar and E-Bulletin: Seasonal planning and electronic distribution
Staff Clubs and Workshops: Creating internally funded social spaces based on interests
Flexible Activity Hours: An activity program extending beyond work hours

Sustainability Guarantee with the PUKÖ Cycle
Faculty administration emphasizes that these developed recommendations are not merely short-term interventions but will be transformed into a quality process that will be continuously monitored using the PUKÖ Cycle (Plan – Do – Check – Take Action) method. The goal is to implement the decisions made within three months at the latest.

Prof. Dr. Emre Tandırlı made the following statement at the end of the meeting:

“Quality is measured not only by indicators, but also by how well the institution listens to each individual. This meeting demonstrates how much we value the efforts, contributions, and feedback of our administrative staff. Our faculty will continue its vision of establishing an academic environment that generates solutions, prioritizes development, and connects with people.”
