This meeting was the fourth meeting held within the scope of Dean Student Meetings. The meeting, which started with the explanations about the satisfaction surveys conducted by our University Quality Unit and the aspects open to development that emerged from these surveys, was discussed in detail in the agenda item of the administrative category satisfaction surveys. In this context, the Problem, the Source of the Problem (ishikawa analysis) and solution suggestions detailed below are created with the statements of our students during the meeting. An action plan is also being created regarding these solutions, and it is planned to complete these solution activities within a maximum of 3 months. There are eight items below 50 points. When listed from lowest to highest, the titles with one 22.1 point, one 28.5 point, one 32.3 point, one 35.3 point, one 34.9 point, one 36.2 point, one 36.6 point and one 41.7 point were discussed in detail in this meeting. In the previous meeting held on May 22, 2024 under the name of Dean Student Meeting III, similar items were discussed regarding the 2023 Student Satisfaction Survey. Similar problems were also discussed in that meeting and some improvements were made by our Faculty. The presentations of these improvements were presented to our students with visual and written evidence under the title of actions. Therefore, we have come together to make our presentation regarding the improvement works that have been carried out and are being carried out towards permanent and sustainable solutions. We have also gathered to provide mutual exchange of ideas in order to create an improvement action plan under the new headings that emerged in the 2024 Student Satisfaction Survey.
Action Presentation online meeting, KYS WORKFLOW criteria and regular meetings within the framework of Dean Student Meetings
Dissatisfaction with public transportation is among the topics that occupy the agenda not only for our Faculty but also for the institution as a whole and not only for our students but also for all segments that use public transportation without private vehicles. The source of this problem is that the current transportation services are not capable of meeting the increasing needs during the fall and spring semesters when education and training activities take place, especially during exam times. At the same time, the impolite attitudes and behaviors of our drivers have also led to dissatisfaction. We have been following this dissatisfaction closely on the empatilef platform.
Solution Actions and Promises
Ajenda Item (Survey Item)
1. The Number and Frequency of Public Transport Vehicles are Sufficient. Our university is working to increase the quality of transport with the initiatives of our quality coordinator.
Our quality coordinatorship meets with the authorities from time to time and continues its consultations on increasing the frequency of trips considering various periods.
Our University Quality Coordinatorship visited Bolu Municipality to discuss our students' opinions, suggestions and complaints regarding transportation.
The members of the Quality Coordinatorship, headed by Vice Rector Prof. Dr. Coşkun Karaca, met with Vice President Sedat Gülener and conveyed our students' demands regarding vehicle capacity, vehicle additions, fees and increasing service quality.
According to the satisfaction survey results, efforts are ongoing to provide solutions to the transportation problem and driver behavior, which are among the issues with the lowest satisfaction rates. In this context, first of all, "Effective Communication in the Transportation Sector" training was provided to Karaköy Cooperative Private Public Bus drivers under the coordination of Continuous Education Application and Research Center (SÜYAM). Within the scope of the training given by Gerede Faculty of Applied Sciences Faculty Member Prof. Dr. Mehmet Altınöz; The drivers were provided with enlightening information on the basic features of effective communication, empathic listening, face-to-face relationships, issues to be taken into consideration for the development of human relations, issues to be considered during the public transportation service process and similar issues. In addition, discussions are ongoing regarding the frequency of trips and routes.
Among the most frequently mentioned issues in the surveys conducted by the Quality Coordination Office to our students throughout the year is the improvement of transportation. Our Quality Coordination Office, which continues its work in line with the wishes and desires of our students, continues its work to solve the transportation problem.
In the Dean Student Meeting IV meeting held within the scope of the evaluation of the 2024 KYS WORK Flow student satisfaction surveys and improvement studies (August 2024), the proposal regarding “Additional trips during exam times” was accepted to be presented to our quality units.
If it is not possible to make more reasonable decisions regarding fees, solutions such as monthly subscriptions can be provided.
Agenda Item (Survey Item)
2. I am satisfied with the internship/practice opportunities provided by the unit (faculty/college). (28.5)
The second lowest item, which received 28.5 points, was: I am satisfied with the internship/practice opportunities provided by the unit (faculty/college). 28.5% of the respondents gave positive opinions.
Executive Presentation: Emphasis will be given to developing the consultancy services unit that currently provides services on optional internships.
The compulsory internship application was available in our faculty in the past. However, due to some negativities experienced during this process, the internship application has evolved into a format that will have the nature of an ‘optional internship’. During the compulsory internship application periods, the tax for the internship was paid by our unit. However, there were some situations. The student could not go to the internship due to illness. During the inspections, our unit had to pay some fines due to the tax premium being paid without going to the internship. In addition, since there are some negativities in the internship/workplaces that students find and the advisor approves, and some disagreements between the employer and the student, our unit may find itself in a difficult situation. For this reason, the internship application has evolved into an ‘optional internship’ and our unit has had to adopt a cautious attitude in internship applications, especially compulsory internship applications, although they are sector-focused.
Solution Implementations and Promises
Currently, there are internship opportunities to be carried out in the Presidential internship program under the consultancy of the Career Center at our University. In terms of gaining sectoral experience and career planning, advisor faculty members in our unit provide information about internship and job opportunities suitable for our students' interests and career goals, again with the coordination of our University's career consultancy, and provide information about career paths after graduation. In addition, students are provided support in issues such as CV preparation, interview techniques and job application processes within the scope of the Career Planning course. Emphasis will be placed on developing the consultancy services unit that currently provides services in optional internships.
3. Agenda Item (Survey Item)
Canteen services are sufficient. (32.3)
Thirdly, regarding the item “We are not satisfied with the canteen services” which received 32.3 points, 32.3% of the respondents gave positive opinions. In fact, there were similar dissatisfactions regarding this issue in terms of other categories such as Academic and Administrative staff. Action plans have already been created within the scope of previous meetings held with them. This item was discussed in full detail in the meetings held.
Presentation of the implementation:
Excessive pricing practices were prevented. Limited variety stocks still continue.
Solution implementation and promises:
Our initiatives for a more affordable pricing policy have yielded results. This has started to become sustainable. Our controls and price monitoring will continue in this regard.
In the context of low profit, the proposal draft for the operation of the canteen by the ARGE Foundation as of 01.01.2025 will be presented to our General Secretariat and Quality Coordination. So much so that neither our academic and administrative staff nor our students are absolutely satisfied with the canteen services that are closed because they cannot make a profit even in the summer months we are in.
Agenda Item (Survey Item)
4. International Exchange Programs (Erasmus etc.) are sufficient. (35.3)
Thirdly, there were 35.3% positive opinions regarding the item “International Exchange Programs are sufficient”, which received 35.3 points. Our improvement efforts regarding this issue are ongoing.
Performance Presentation: Necessary preliminary preparations have been initiated to initiate initiatives for new ERASMUS agreements.
There were not sufficient structures in our faculty to establish agreements with international exchange programs. These exchange activities were carried out with a limited number of agreements.
Solution actions and promises: Our authorized units have been called upon to take initiatives to provide new agreements in accordance with the departments' areas of expertise and the needs of the students, in order to increase the international exchange programs by ensuring intra-Faculty coordination and in coordination with the University Erasmus Coordinatorship and the University International Relations Coordinatorship. Our unit's Erasmus Coordinatorship continues its initiatives to provide new agreements in order to increase the international exchange programs.
Agenda Item (Survey Item)
5. Social Activities Are Sufficient. (34.9)
Fifthly, the item “Social Activities Are Sufficient” received 34.9 points, and 34.9% of the respondents gave positive opinions. Interactive initiatives have been initiated to provide the necessary improvements regarding this issue.
Presentation of the performance:
There were no social activities in our faculty other than educational activities, sectoral guest events, workshops, exhibitions, etc. It is true that we still have a development area for socialization such as the spring festival. In particular, solution proposals for social activities such as the spring festival have been addressed and interactive initiatives have been initiated.
Solution performances and promises
Social Activities Are Sufficient. Our faculty has started to organize a very important traditional symposium event called BAİBÜİLEF-İG, which has made a great impact in our country and international platforms. We are proud of this as the faculty administration and continue our work for BAİBÜGİLEF-İG 2025 without slowing down. However, we are aware that what is meant by social activities within the scope of this article is an event in the form of a Spring Festival. Intense theoretical and practical courses and an intense cultural event program give us all a sweet tiredness. Relieving this tiredness with social activities is also our aspect open to development. Regarding this agenda item, instead of bringing musicians from outside, the most appropriate solution would be to identify those among us who are interested in music and organize a spring festival among ourselves. At this point, a spring festival will be organized by making posters with the motto "Music is also a communication."
Agenda Item (Survey Item)
6. Laboratory/Workshop Facilities Are Sufficient. (36.2)
As the sixth item, "Laboratory/Workshop Facilities Are Sufficient", which received 36.2 points, received 36.2 positive opinions. Performance presentation:
Laboratory/Workshop Facilities are Sufficient. Our faculty has two computer laboratories, one TV studio, one editing room, and one radio room located in our library. Our TV studio and editing room may not have kept up with the rapid development of technology. We are aware of this.
Solution practices and promisesConnection
However, our radio broadcasting facilities and computer laboratories are constantly being revised to keep up with technological developments. In particular, we have made requests such as new computers and cameras for the computer laboratories, one of which is joint with the Faculty of Agriculture and the other is completely at the service of our faculty. In response to these requests, last week, new computers and a professional camera that can be used for multi-purpose purposes such as new news shootings etc. were provided by our Rectorate for the use of our Faculty and valuable students.
Agenda Item (Survey Item)
7. Cultural Activities Are Sufficient. (36.6)
There were 36.6 positive opinions regarding the item “Cultural Activities Are Sufficient” which received 36.6 points as the seventh.
Presentation of the implementation:
In fact, regarding this survey item, our University, of which our unit is a part, is also quite active in this regard. Our University is also an example to our Faculty in terms of rich cultural activities, sometimes carried out with the initiatives of its units and sometimes as an umbrella science.
Solution implementations and promises
Our University and our peer sciences affiliated to our University do not only motivate us as internal stakeholders, but also other peer units of Foundation and State Universities inspire us within the scope of benchmarking (taking a model by comparing). In this context, we can say that serious organizations are carried out in our Faculty.
